Order Review and Acceptance
Submitting an order or receiving an automatic order confirmation does not mean the order has been accepted. Orders are accepted only after Caldwell Air reviews product availability, pricing, freight, payment status, and manufacturer acceptance.
Freight Shipping
Large equipment such as compressors, dryers, and tanks, usually ship by LTL freight, often direct from the manufacturer. Smaller items may ship by UPS, FedEx, or another parcel carrier.
Freight and shipping terms may vary by product, order value, destination, product size, weight, and delivery requirements. Standard freight may be included in the product price or offered on eligible orders only when expressly stated on the product page, quote, checkout page, or order confirmation.
If freight is not included, shipping charges will be calculated at checkout or confirmed in writing before the order is released for processing.
Any included or free freight offer applies only to standard commercial freight service unless otherwise stated. It does not include accessorial or special delivery services, which may be billed separately.
Accessorial or special delivery charges may include liftgate delivery, residential delivery, limited-access delivery, inside delivery, appointment delivery, redelivery, reconsignment, detention, remote-area service, address correction, oversized handling, storage, or other carrier accessorial charges.
The customer is responsible for providing complete and accurate delivery information before the order is released. If additional charges arise because delivery information was incomplete, inaccurate, or changed after order acceptance, the customer is responsible for those charges.
Orders containing multiple products may ship separately, from different locations, and may arrive at different times.
Lead Times and Transit Times
Lead times and transit times are estimates only and are not guaranteed. All delivery timeframes may vary due to manufacturer workload, component availability, supplier delays, carrier delays, weather, holidays, remote delivery locations, special delivery requirements, or other circumstances beyond Caldwell Air's control.
How It Works
- Processing Time: Most Ingersoll Rand / ACF in-stock items generally ship within 5-7 business days after order acceptance and payment verification, depending on product family, model, configuration, availability, supplier acknowledgment, and manufacturer or distributor schedules.
- Transit Time: Standard LTL freight delivery is generally 2-5 business days depending on the carrier, destination, delivery requirements, and location.
- Shipping Method: Compressors, dryers, and tanks ship via LTL freight on pallets. Smaller items may ship via UPS/FedEx.
- Tracking: You'll receive tracking information via email once your order ships.
Rolair Processing Time
Rolair's products are assembled to order at their manufacturing facility. Please allow approximately four weeks for processing and assembly before shipment. Transit time is additional and begins once the product leaves the manufacturer. Estimated LTL transit time is generally 2-5 business days, depending on the carrier and delivery location. Lead times are estimates and may vary depending on the model and current factory workload. You will receive tracking information once your order ships.
Delivery Requirements
A loading dock or forklift is recommended for freight deliveries. If you do not have dock access, liftgate delivery may be available for an additional charge. Residential deliveries may incur additional fees.
Unless specifically included in writing, the customer is responsible for unloading, rigging, placement, anchoring, installation, electrical connections, plumbing, commissioning, inspections, permits, start-up services, and local code compliance.
The customer is responsible for ensuring that the delivery location is accessible to the freight carrier and that appropriate personnel and equipment are available to receive and unload the shipment.

Important Freight Inspection
Inspect the shipment for visible damage before signing the delivery receipt and before the driver leaves. Note all damage specifically on the Proof of Delivery or Bill of Lading. Refuse delivery if the damage is significant and take photographs of the shipment and packaging.
Do not sign a clean delivery receipt if there is visible damage, shortage, missing items, broken pallets, crushed packaging, punctures, dents, leaks, tipping, exposed equipment, or any other irregularity. Avoid vague notations such as "subject to inspection." Keep a copy or photograph of the signed delivery document.
Signing without a damage notation may affect your ability to file a freight claim.
Concealed Damage
If concealed damage is discovered after delivery, contact Caldwell Air immediately and no later than 48 hours after delivery. Keep all packaging, pallets, straps, labels, and shipping materials. Do not install, use, alter, repair, discard packaging, or return the product until Caldwell Air provides written instructions.
Returns and Cancellations
Because our products are industrial equipment shipped direct from the manufacturer, all sales are final unless Caldwell Air approves a return or cancellation in writing.
We do not accept returns for buyer's remorse, customer ordering error, project cancellation, change of mind, or products that have been used, installed, altered, damaged after delivery, or returned without authorization.
If a return is approved, a Return Authorization number is required before anything is shipped back. The customer is responsible for return freight, insurance, and any manufacturer restocking or cancellation charges.
Restocking or cancellation charges may range from 25% to 100% of the order value depending on the product, manufacturer, and order status. Rolair returns are reviewed case by case and are subject to a 30% restocking charge.
Approved cancellations or return exceptions may also be subject to supplier fees, production costs, administrative costs, outbound freight, return freight, carrier charges, inspection fees, repackaging fees, refurbishment or repair costs, missing-part charges, accessorial freight charges, payment processing costs, and other applicable deductions.
Special-order, non-standard, assembled-to-order, or manufacturer-approved production items may not be cancelable or returnable once processing has started.
Damaged or Defective Items
If your shipment arrives damaged, follow the freight inspection instructions above and contact Caldwell Air immediately.
Freight damage is not the same as a manufacturer warranty defect. Freight damage is handled through the applicable freight claim process, while warranty defects are handled under the applicable manufacturer warranty.
Caldwell Air will assist with the carrier or manufacturer claim process, but refunds, replacements, or repairs are subject to carrier and/or manufacturer approval. Freight damage claims may be denied if the delivery receipt was signed without damage notation.
Warranty Claims
Products are covered by the applicable manufacturer warranty. Warranty terms vary by brand, model, and product type.
Caldwell Air will help coordinate warranty claims with the manufacturer. Warranty remedies are determined by the manufacturer and may require proper storage, installation, operation, and maintenance. Do not perform repairs, replacements, or labor without prior written approval if you expect warranty reimbursement.
